Site Admin

Located in Frankfurt, Germany

Job Purpose:

The Site Administrator will be an integral part of the Site Team for each project. You will ensure a smooth Administration process for all employees, compliance, and ad hoc activities on site.

Key Accountabilities/Tasks:

  • Management and booking of induction and training records of site operatives.
  • Keeping up to date records of all new staff to sites or staff moving from other sites, informing principal contractor and office of any leavers
  • Role entails a compliance officer capacity with the responsibility of ensuring that all site documents are in order, as required per site. Adequate A1 certificates, contracts, with any appendixes, any documents subject to local laws, Limosa, IDO6 etc.
  • Assisting in completing Req Form for purchasing dept, marking off deliveries as complete.
  • Manage site project office paperwork including scanning, photocopying, printing and collating documents as well as photocopying, managing the site filing (hard copies and electronic copies).
  • Timely management of accurate weekly timesheets, approving hours with time MOTO and Project Manager, meeting Monday morning 8am deadline for completion.
  • Undertake office management such as associated requirements, internet, phone, printers, IT, photocopier and monitoring all site consumables of sundry items such as stationary or consumable items and to make sure that we have supplies as required by the business.
  • Compiling and maintaining a directory of all sub-contractors.
  • Meet and greet sub-contractors/operatives/site visitors.
  • Liaise with the H&S officer on site. Issue process Health & Safety paperwork as required to support the site team.  Inspecting safety documentation and filling
  • Receive all incoming post/courier deliveries and ensure it is directed to the right personnel. In some cases this calls for opening the post and directing it to the relevant personnel.
  • Deal with enquiries from both ASEELTD and the public.
  • Assist with ad-hoc administrative support as directed.
  • The jobholder must make his/her own decisions relating to the work that is carried out. He/She must have the ability to prioritise.

 

Essential attributes/Skills/Qualifications:

  • Proficiency in German is preferred for the applicant.
  • 2+ years admin experience is essential.
  • Problem solving abilities, to bringing solutions ensuring that the site is operating efficiently, and paperwork is in an organised manner.
  • Good working knowledge of Microsoft Word, Excel, Outlook, PowerPoint and Google Drive.
  • Ability to handle confidential information and always display complete discretion.
